Experience in the hospitality industry, a medical office, spa or medical spa, or office administration is preferredbut willing to train the right candidate.

Professional Objective: Greet and welcome spa guests and ensure an excellent first and lasting impression. Oversee and maintain the lobby area and treatment rooms along with a team of coworkers all working together to create a positive welcoming environment. Communicate with Managers and coordinates work activities and guest flow within the spa. Display masterful knowledge of spa services and products to effectively close sales on treatments, products, packages, gift cards and memberships.

Responsibilities and Duties

Job Activities and Responsibilities:

  • Maintains excellent customer service skills and properly implements ‘Spa-Cabulary ‘
  • Maintain the reception area as indicated in the spa manual
  • Greets and checks guests in and out
  • Reservations – Answer phone, book appointments, confirmations
  • Assists with stocking and maintaining the spa boutique
  • Assists with attendant duties when needed, maintaining appearance standards throughout the spa
  • Assists with inventory management and other organizational tasks
  • Accurately enters point of sale data and quickly checks guests out
  • Familiar with spa boutique inventory
  • Promotes spa services and gift cards/certificates, advises on gift selection, maintains accurate gift sales data
  • Provides gracious spa tours to visitors
  • Maintains a beautiful physical environment within reception and common areas
  • Facilitates effective workflow for technical staff
  • Attends and participates in all general and team meetings
  • Maintains a polished and professional image and vocabulary
  • Assists other support team members when asked
  • Attends all in house training and commits to outside continuing education
  • Participates in all aspects of marketing/special events planning and execution
  • Mentors/trains new team members to help them grow
  • Ability to efficiently communicate with guests

Qualifications and Skills

Ideally experience in a Salon, Day Spa or Medical Spa Required. Sales experience. Hospitality experience. Experience with booking Software a HUGE plus!

Desired Qualifications :

  • Experience in front line guest service in a spa, salon or medical spa
  • Strong interest in the skincare, beauty, and wellness industries
  • college diploma or equivalent
  • Strong computer skills and aptitude for mastering the spa software
  • Confident personality and strong selling abilities
  • Flexible schedule and ability to work 40 hours per week and 5 days a week

POSITION: Spa Director

REPORTS TO: Owner/CEO

Job Summary: This position oversees the day-to-day operational functions for the medical practice, ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner. Key responsibilities include financial, office administrative duties, insurance administration, and personnel management.

Education and Experience:

  • College Degree Required, RN preferred.
  • Five years medical practice experience
  • Strong financial background, previous bookkeeping experience.
  • Extensive experience with practice data processing systems.

1. Financial Responsibility

RESPONSIBILITIES :

  • Responsible for posting and adjustments related to patient services.
  • Makes daily bank deposits.
  • Develop and administer payroll procedures on a bi-weekly basis.
  • Responsible for reporting payroll each month.
  • Reports sales and use tax each month.
  • Manages invoices and pays all invoices and bills.
  • Enter charges and payments; issues refunds as appropriate.
  • Coordinates computer systems, including software updating and daily backup.

2. Practice Management

  • Main point of contact for the spa.
  • Responsible for all customer service concerns and escalations.
  • Manages provider schedule daily.
  • Maintains an effective system for employee personnel files and records ensuring legal documentation.
  • Creates and maintains an ongoing structure for employee orientation and termination.
  • Seeks new talent when needed and responsible for the onboarding/training of new employees.
  • Provides leadership, guidance, and organizational expertise to all staff members. Effectively communicates departmental activities to overall staff.
  • Establishes a high performance team of staff that is efficient, knowledgeable, service-oriented, and shares responsibility for attaining the goals of the practice.
